Tell us the basics: how many clients, which services you want covered, what software you use, and when your peak season hits. We come back within one business day with a proposed pilot scope, a clear timeline, and answers to any questions you have. No lengthy sales process. No multi-week procurement cycle.
WHAT WE NEED FROM YOU AT THIS STAGE?
Approximate client volume, primary services wanted (bookkeeping, tax prep, payroll), software currently in use (Drake, Lacerte, QBO, etc.), and your preferred communication channel. That is all.

Before any data changes hands we execute a mutual NDA and our standard service agreement covering data handling, security obligations, the 24-hour breach notification commitment, and data return provisions. Then you create user accounts for our team inside your existing software (Drake, Lacerte, QuickBooks Online, TaxDome, or whichever platforms you use) at preparer level, not admin. We receive access exactly as an internal hire would. Your systems, your infrastructure, your compliance standards.
WHAT ACCESS WE NEED
Preparer-level accounts in your tax software and/or accounting platforms. Access to the designated client folders in your document storage. We never ask for admin access, EFIN access, billing access, or PTIN credentials.

Every engagement begins with a structured 2-week pilot on 2-3 clients you choose. You pick clients you consider straightforward. These are your test cases. We prepare their work exactly as we would in a paid engagement. At the end of the pilot we have a debrief conversation: you review the work quality, communication style, turnaround time, and workpaper format. If you are satisfied, we define the ongoing scope and begin. If you are not satisfied, you owe nothing.
WHAT A GOOD PILOT LOOKS LIKE
2-3 bookkeeping clients needing a month or two of catch-up, or 3-5 individual tax returns during season. We agree on a turnaround time at the start and hold ourselves to it. You evaluate us on the same standards you would apply to an internal hire.
We Document Your Workflow. Once. Then We Follow It Every Time.
Before the full engagement begins we create a one-page workflow document for each service we handle for your firm. How work arrives to us, your preferred turnaround window, your workpaper format preferences, how we handle queries, who we contact for what. This document lives in our secure system so any team member can serve your firm consistently, even if your dedicated contact is unavailable.
EXAMPLE WORKFLOW DEFINITION
Bank statements and QBO access by the 5th of the month. Reconciliation and categorization complete by the 10th. Month-end report package delivered to your TaxDome portal by the 12th. Query list delivered simultaneously. You review and approval by the 15th. This is defined, agreed, and followed every month without needing to be re-stated.
Ongoing Work: We Prepare. You Review. Your Client Sees Only You.
In the ongoing engagement the rhythm is consistent. Our preferred model: we access work directly inside your systems (tax software, QBO, payroll platforms) through the user account you've created for our team. We prepare within the agreed turnaround, mark the work ready for your review, and you never need to send us a single file. In this setup, no data changes hands and no data ever sits on our side.
Where a CPA firm's workflow requires sending us documents directly (tax prep packages, bank statements, payroll files), we receive those into our encrypted, access-controlled cloud storage, complete the work, and deliver the finished product back to you. Those received files are securely deleted within 30 days of delivery confirmation.
Either way, you review completed work with a workpaper package and a flagged query list for any items needing your professional judgment. You approve, adjust if needed, and deliver to your client. We stay invisible throughout.
HOW WE HANDLE UNCERTAINTY
We never guess. If a transaction is unclear, a document is missing, or a tax position requires judgment, it goes into the query list with our analysis and the specific question we need answered. We deliver everything we can complete and clearly mark what is pending your decision. You always know exactly where every file stands.
Communication: Efficient, Batched, Professional.
We understand CPA firm owners are not looking for another vendor filling their inbox. All questions about a given client are batched into one organized query document, not sent as individual emails throughout the day. Status updates are regular but not intrusive. You designate one point of contact; everything goes to that person.

Turnaround Agreed Before You Sign
We do not apply a one-size-fits-all turnaround schedule. Every engagement begins with a clear conversation about your firm's specific needs, capacity, and deadlines. Turnaround times for every service are agreed upon mutually and documented in the engagement agreement before work begins. This ensures the timeline works for your firm, not just for us.
One commitment that applies to every engagement without exception: if we cannot meet an agreed deadline, we notify you at least 24 hours in advance - never after the fact.

Year-end payroll reconciliation and form preparation. Recipients must receive forms by this date.
Payroll CriticalPartnerships and S-Corps
Form 1065 and 1120-S due. Business returns before individual returns. K-1 packages must be ready.
Business ReturnsIndividual and C-Corp Returns
The busiest single deadline. Form 1040 and 1120. Q1 estimated tax payments also due this date.
Peak DeadlineExtensions Filed
Form 4868 and 7004 extension requests filed with estimated liability calculations for clients who need more time.

Second quarter estimated tax payments due. We include estimated payment schedules with every individual return.

No Grace PeriodWe Work Inside the Tools You Already Use
No new platforms. No data migration. No integration work. You create a preparer-level user account for our team in your existing software, exactly as you would for an internal hire, and we start working. Your infrastructure, your compliance standards, your client data stays entirely within your systems.
This is the key point: when we work inside your software, no client data resides on Finaceal's systems. We log in, do the work, and log out. When the engagement ends or you remove our access, there is nothing on our side. No data to return. No data to dispose of.
In cases where a CPA firm sends us source documents directly, such as PDF bank statements, tax prep packages, or payroll spreadsheets, those files are held in our encrypted, access-controlled cloud storage during the engagement and securely deleted within 30 days of the completed work being delivered. Written confirmation is provided on request.

Batched Query Lists
All questions about a client are compiled into a single organized query document – not sent as separate emails throughout the day. One document, one review, one response.
Status Updates
Regular status updates on in-progress work. You always know where each file stands without having to ask. During tax season updates are more frequent. During off-season, less so.
One Point of Contact
You designate one person at your firm for all communication. We designate one person on our team for your account. Direct lines, no routing through departments or support tickets.
Your Channel
Email, Slack, Microsoft Teams, or any secure platform you already use. We do not impose a new tool on your workflow.
Proactive Escalation
If a deadline is at risk, if a document is missing and blocking progress, or if we encounter something that needs your immediate attention – we tell you ahead of time, not after the fact.
Deadline Reminders
For payroll tax deposits we flag each deadline 3 business days in advance. For filing deadlines we track the full tax calendar and alert you to approaching dates for clients in progress.
Regular Check-In Meetings
Our Operations, Outreach & Compliance Manager holds a regular check-in meeting with your designated point of contact. These meetings cover work quality feedback, process adjustments, upcoming deadlines, and anything on either side that benefits from a direct conversation. The cadence is agreed upon at the start of the engagement based on your preference and the scope of work. Standing meetings keep the partnership aligned and give you a consistent forum to raise anything, not just operational issues.

Contact Your Clients
We never reach out to your clients directly during the engagement, after it ends, or ever. All communication goes through you.
Appear On Deliverables
Our name, logo, or any identifying information never appears on any workpaper, return, report, or document that reaches your client.
File Returns Directly
We prepare returns to the ready-to-file stage. Filing happens under your PTIN and EFIN. We have no access to either.
Give Advice To Your Clients
Tax advice and financial advisory guidance go through you. We build the data and preparation work that lets you give better advice. We do not advise your clients.
Guess At Unclear Items
An uncertain transaction, missing document, or ambiguous tax position goes in the query list, not into the return as a guess.
Hold Data Beyond The Engagement
When we work within your systems, access revocation means no data remains with us. Any files shared directly with us are deleted within 30 days of delivery, and we do not retain client data after an engagement ends.
